A thriving robotics company that is shaping the future of hospitality is searching for an executive assistant to support its CEO. As an executive assistant, you will be responsible for managing a variety of projects that will redefine hospitality. The ideal candidate for this dynamic position is someone who is passionate about technology and excited about the prospect of forward progress.

Requirements
  • Experience providing administrative support at the executive level.
  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and experience managing digital calendar systems across multiple time zones.
  • Exceptional written and verbal communication skills, with a proven ability to draft polished corporate correspondence and interact confidently with senior leadership.
  • Strong organizational and project management skills, with the ability to prioritize competing tasks, meet tight deadlines, and pivot when necessary.
  • A proactive, solutions-oriented mindset with a strong ability to anticipate needs, troubleshoot scheduling conflicts, and resolve logistical issues independently.
  • Demonstrated ability to handle highly sensitive, confidential business and personal information with absolute integrity and sound judgment.
  • Ability to maintain a calm, professional demeanor under pressure and adapt to shifting priorities or changing business needs.
Responsibilities
  • Manage and optimize complex, rapidly changing calendars, prioritizing meeting requests and protecting the executive’s time for strategic work.
  • Act as the primary gatekeeper for the executive's inbox, screening inbound communication, drafting professional correspondence, and responding on behalf of the executive when appropriate.
  • Arrange comprehensive, end-to-end domestic and international travel logistics, including flights, accommodations, ground transportation, and detailed itineraries.
  • Prepare meeting agendas, attend high-level discussions to capture minutes, and track deliverables and action items to ensure timely follow-up.
  • Draft, edit, and format high-quality documents, executive briefs, and slide presentations using Microsoft Office tools.
  • Track, organize, and reconcile monthly expense reports and credit card statements in alignment with company policy.
  • Serve as a discrete and reliable bridge for communication between the executive, internal leadership teams, board members, and external partners.
  • Assist with ad-hoc projects, conducting preliminary research and tracking timelines to support the executive's strategic initiatives.
  • Handle highly sensitive business, financial, and personal information with the utmost discretion and professionalism.
