We are seeking an exceptionally organized, proactive, and detail-oriented personal assistant to support an UHNW employer. In this role, you will manage high-level personal, administrative, and lifestyle logistics while overseeing the day-to-day operations and maintenance of two primary local residences. The ideal candidate possesses high emotional intelligence, impeccable attention to detail, strong vendor management capabilities, and a commitment to confidentiality.

Requirements
  • Experience as a Personal Assistant, Household Manager, or Estate Assistant.
  • Commitment to maintaining strict privacy and confidentiality.
  • Exceptional verbal and written communication skills.
  • Proficient in digital calendar management and Microsoft Office.
  • Strong problem-solving abilities.
  • Valid driver’s license with a clean driving record and reliable personal transportation.
  • Ability to foresee potential issues and address them before they impact the family.
  • Keen eye for detail regarding home presentation, organization, and luxury standards.
Responsibilities
  • Oversee the day-to-day operation, maintenance, and readiness of two local residences.
  • Source, vet, schedule, and oversee external contractors, specialist technicians, housekeepers, landscapers, and service providers. Negotiate contracts and inspect completed work to maintain high standards.
  • Ensure homes are fully stocked, immaculate, and prepared according to the family's preferences prior to their arrival or for special events.
  • Coordinate personal appointments, family calendars, wellness appointments, lessons, and domestic household schedules.
  • Arrange comprehensive domestic and international travel itineraries, including private/commercial flights, luxury accommodations, ground transportation, passports/visas, and detailed daily agendas.
  • Handle personal errands, dry cleaning, high-end gift sourcing, returns, and bespoke personal shopping.
  • Assist with planning, organizing, and executing private dinners, holiday gatherings, and events across both properties, including catering and staffing coordination.
  • Manage household petty cash, credit cards, and expense reporting. Process vendor invoices and submit them to the accountant for timely payment.
  • Maintain organized physical and digital filing systems for home warranties, service contracts, manuals, and household records.
